DSSI has developed and uses TimeTracker, a web-accessible, fully automated, easy to use, system for employee time accounting. The system allows billable and non-billable employees to enter their work hours from remote sites via the web, allows project managers to review and approve employee submissions, and allows management to view rollup reports of utilization by project and activity. Time-consuming and repetitive data entry tasks are eliminated for both management and accounting departments, ensuring accuracy of payroll transfers, customer invoices, and internal reports.

     
  Functional High-Level Overview

TimeTracker is separated into four major components:
1) timesheet entry for individuals;
2) electronic time approval for project managers;
3) system administration; and
4) management reports.

Employees login daily to TimeTracker through DSSI's secure authorization/authentication component, the Web Application Manager. From the main time entry screen, individuals enter time spent, activity, and clarifying comments for those projects they are assigned to each day. At the end of the week, the electronic timesheet is submitted and project hours are routed for review and approval to the appropriate project managers. Key features include calculations of total hours worked and billed by the day, week and project. Employee comments, which can be made mandatory, are rolled up into customer status reports and invoices.

One or more Administrators are designated to have access to the administration system to control user access and rights to TimeTracker. Administrators work with Project Managers to set up and define the new billable and non-billable projects and their attributes: project start date, end date, activities, employees assigned, and budgeted hours.

Management reports are available to help run the business from project management, customer, and accounting perspectives. Reports can be run across all projects and users of the business or can be narrowed to specific users on specific projects, over specific time periods. Reports are presented in either HTML or Excel format. Specific reports include:

  • Hours by Project, Hours by User (with or without comments)
  • All Projects and their Activities
  • Users with Missing Timesheets, Utilization by User Project
  • Details by User, Project Forecasting
